Rubystone is a software platform that helps Australian businesses document and manage their R&D Tax Incentive claims. When you use Rubystone, you're agreeing to these terms. If you're using it on behalf of a company, you're confirming you have the authority to bind that company to these terms.
We've tried to keep this readable. If something doesn't make sense, ask us — we'd rather explain than hide behind legalese.
You're responsible for keeping your account credentials secure. If someone accesses your account because you left your password on a sticky note, that's on you. If you suspect unauthorised access, let us know immediately.
You must provide accurate information when signing up. We're not in the business of policing identities, but we do need to know who we're working with.
Ruby is an AI assistant designed to help you improve your R&D documentation. She offers suggestions, highlights potential issues, and helps you understand what the ATO is looking for. She does not write your claims for you, and she definitely doesn't guarantee approval.
Ruby's guidance is helpful, but it's not tax advice. You should work with a qualified R&D tax consultant for that. Your R&D consultant reviews everything before submission — that's by design.
You own your data. The R&D narratives, invoices, timesheets, and other information you upload belong to you. We don't sell your data, and we don't use it to train AI models outside of Rubystone.
We do use your data to provide and improve the service — that's kind of the point. See our Privacy Policy for the full picture on how we handle your information.
Use Rubystone for its intended purpose: documenting legitimate R&D activities. Don't use it to fabricate claims, mislead the ATO, or do anything that would make your accountant wince.
Don't try to break, reverse-engineer, or otherwise mess with our systems. We've worked hard on this, and we'd rather spend our time building features than patching exploits.
If you're on a paid plan, you agree to pay the fees as quoted. We'll give you reasonable notice before changing prices. If you don't pay, we may suspend your access — though we'll always reach out first to see if something's gone wrong.
All prices are in Australian dollars unless otherwise stated.
We do our best to keep Rubystone reliable and accurate, but software isn't perfect. We're not liable for any indirect, incidental, or consequential damages arising from your use of the platform.
Our total liability is limited to the amount you've paid us in the past 12 months. If you haven't paid us anything, our liability is limited to $100 AUD. This isn't us being difficult — it's how software terms work.
We may update these terms from time to time. When we do, we'll notify you with reasonable notice. If you keep using Rubystone after the changes take effect, you're agreeing to the new terms.
Major changes will come with more notice. Minor clarifications won't.
These terms are governed by the laws of New South Wales, Australia. Any disputes will be resolved in the courts of New South Wales. We hope it never comes to that.
